Please note: This manual uses imaginary people and imaginary staff!
Through an open application to OAK, grantee organisation Caterpillar has requested a donation for its grassroots growth fund. Its vision is to grow through dedicated food intake and it needs help finding and buying food.
The first thing the Project Officer must do is adding Grantee organisation Caterpillar in the system.
This manual helps you to add an new Organisation called Caterpillar into the system.
To create a new organisation, click on the “Organisation” tab.
Then click “new”.
Select type of organisation in this case “grantee”
Now fill out the relevant information about Caterpillar Organisation.
Then click SAVE very important.
Next you see your new organisation listed in the Organisations
This manual helps you to add a pipeline Project for the Caterpillar organisation.
To start a new pipeline project, click on the “Projects” button.
Then click “new”.
The project name is “Feedme”. Please type that in the field.
Click on the “Programme” box, and select from the drop down menu “Environment”
Click on the “Budget Programme Officer” box, and select from the drop down menu “Be Ware”
Click on the “Programme Budget” box, and select from the drop down menu “Environment 2022”
Click on the “Budget Programme Officer” box, and select from the drop down menu “Be Ware”
Click on the “Applying Organisation” box, and select from the drop down menu “Catepillar”
Click on the “Subprogramme Budget” box, and select from the drop down menu “2022 Food Needs
Click on the button “Save a Pipeline Project” in blue. Done, your Feedme pipeline project for 2022 is made and filed in the system.
This manual helps you to find the “Feedme” project
Click on the “Projects” button.
Then below click on the search field and type “Feedme”
Click on the blue “Feedme” text in the “Project Name” column.

Click on the “Contacts” button. Then click “new”.
Click on button “Title” and select “prof.”
Click in button “First name” and type “Butter”
Click in button “Last name” and type “Fly”
Click on the “Organisation Name” button and select Catepillar
We skip the phone numbers and go directly to email.
Click on the “Email” button and type “Bfly@catepiller.food
Click on the blue “SAVE” button
Now the Catepillar organisation has Bfly as a contact.
Set this contact as you Primary or Signatory contact, this is required in order to login to Experience as User, see below.
Click on “Contacts” tab.
This manual helps you “Login to Experience as User” and get to the Grantee Portal
Step 1 : Click on contacts
Step 2: Find your contact and click on it. In our case Cate Pillar
Step 3: Click on “Login to Experience as User”
Step 4: Now opens Grantee Portal, look up Grantee details
Step 5: To go back, click on “Face” right hand side and log out.

Best to start Chatter from “contacts”
Click on “Contacts” tab.
Select your contact (in blue)
Then click on the Chatter tab
Using the “@” to write to a specific person. For example @catepillar Hi Cate how is the growing going?
This manual helps you to edit and manage the “Feedme” project ready for Summary or Application phase.
Click on the “Projects” button. Then below click on the search field and type “Feedme”
Click on the blue “Feedme” text in the “Project Name” column.
You see in green: “The next steps are : Manage pipline project”
To do that click on the “EDIT” button in blue
Add an “Assigned Programme Officer” from the drop down menu
Below set the start and end date of the project
Under the Tab “Stages” add the “Grant Amount” in this case 100,000
Click on “SAVE”
Now you will be able to advance to “Summary” phase or “Application” phase.
